Job Summary

Under direction of the Associate Director-Procurement Automation, this position will be responsible for requirements determination, design, development, implementation, deployment, and ongoing maintenance and support for the University’s digital procurement systems. This position is key to optimal functioning as well as tactical and strategic planning related to the University’s purchase of goods and services for the campus enterprise. The successful candidate will manage and administer digital solutions having significant knowledge of the business side and needs of public procurement accompanied by the technical knowledge, skill, and initiative needed to digitize and automate procurement to the fullest possible capacity. Key focus for this position relates to maximizing opportunities for e-procurement systems of various types that support purchase of goods and services for University departments. Significant focus will be on usage and augmentation of e-catalog shopping including both punchout and hosted catalogs.


The successful candidate should understand Procure-to-Pay (P2P) processes, Business-to-Business (B2B) e-commerce concepts and solutions, transaction overview and management, approval and document workflows, etc. Understand full business transaction streams, be able to identify issues and stoppages, work to maximize automation, and minimize manual efforts in procurement processes through use of technology. The successful candidate should be familiar with and understand common IT project development methodologies, IT project management, and system integrations. This position requires understanding of system design, planning, and build; system integration testing (SIT); user acceptance testing (UAT); deployment; and ongoing maintenance and support. This person will be responsible for managing and executing full end-to-end e-procurement solutions. Successful candidate should have knowledge of programming, database implications, data mapping, user interface best design and application, etc.


In addition, the successful candidate should understand operational concepts of cloud and on-premise ERP systems functionality. The person will work directly with software solution providers to place incident service tickets on issues and tracking of provided solutions. Person will participate in software provider user groups to maintain relationships with other institutions/providers.


Under direction of the Associate Director, this person will plan for and execute change management and cutover activities for new system solutions and e-catalog onboardings. Responsibilities include creation and delivery of training materials as it relates to e-procurement transactions for general campus users, Purchasing staff, suppliers, and other stakeholders. Direct support of departmental end-users’ e-procurement learning needs will be a responsibility of the person holding this position. This person will be responsible for and/or assist in creation of permanent documentation as needed for various projects and other procurement activities.


The person in this position will work closely with departmental stakeholders, procurement leadership, various University information technology teams, e-procurement solution providers such as SAP Ariba, and Business-to-Business (B2B) e-commerce teams for multiple suppliers to develop, maintain, and maximize use of e-procurement systems. ERP experience, preferably with SAP, is preferred.


It is important that the person holding this position be a team player, detail-oriented, organized, and have initiative. Must have good communication and excellent interpersonal skills and be able to communicate clearly – oral and written – to both IT and business users and convert IT information to understandable business information as needed for various audiences.


This position also provides support to other Procurement Automation special projects, applications, and initiatives as well as various ancillary procurement tasks including website support, IT desktop support, e-procurement, misc. reporting, etc. Knowledge, management, and support of other procurement-related software applications will be part of this position. This position heavily focuses on Purchasing staff, campus customer, and University supplier support and progression of technology as it relates to procurement services. The person in this position should understand procurement related processes, general contracting, and procurement-based technology projects. Other duties as assigned.
